1. Security & Access
- Gates must always be kept locked and only opened for legitimate access.
- Do not leave an unattended gate open.
- Access hours: Between sunrise (or 7 AM, whichever is later) and dusk (or 8 PM, whichever is earlier).
2. Eligibility & Allocation
- Only residents of Elm Village (EVTRA members) may apply for a plot.
- Plots are allocated on a first-come, first-served basis, with priority given to residents without gardens.
- When a plot is relinquished, it returns to the EVGS Committee for reallocation.
- No sub-letting, though plot sharing with friends or helpers is allowed.
3. Fees & Payments
- Annual fees are set by the EVGS Committee and must be paid in advance.
- Fees cover membership, water usage, keys, and maintenance.
- Current rates (subject to change):
- Membership – £5
- Greenhouse – £10
- Plot – £30
- By paying your fees, you agree to abide by these terms and conditions.
4. Plot Maintenance & Responsibilities
- Plots must be actively cultivated and kept in regular use. Plots that are neglected or left uncultivated may be forfeited the following year.
- Plot holders must treat the wood of their plot once a year. Failure to do so will result in forfeiture of the plot the following year.
- Participation in at least two tidy-up days per year is compulsory, as organised by the EVGS Committee.
- Mindful water use: Water taps must be turned off after use, and water butts should be the first source of water.
- Composting rules must be followed as per the on-site signs. No plastic or contaminants in compost.
- Plots must be kept tidy throughout the year and left in good condition when vacated.
5. General Site Rules
- No fires, smoking, or loud music/radios (smoking is strictly prohibited in the greenhouse).
- No animals (chickens, rabbits, pigs, goats, etc.).
- Dogs must be on a lead at all times.
- No blocking of paths, shared spaces, or other plots.
- All tools must be put away after use and personal tools must be taken home.
- Anyone under 16 must be supervised by an adult who takes full responsibility for their actions.
- Disputes will be handled by the EVGS Committee, whose decisions are final.
6. Greenhouse Rules
- The EVGS Committee may take action on neglected plants or pest issues.
- No smoking in the greenhouse due to the risk of Tobacco Mosaic Virus contamination.
- Greenhouse planting trenches are shared and decisions on planting will be made collectively.
- Bench space is divided equally among users.
- Pests, diseases, and weeds must be controlled using organic methods where possible.
- Keep the greenhouse clean: Floors must be swept, hoses coiled after use, and no personal storage allowed.
7. Liability & Compliance
- EVGS and the allotment provider are not responsible for theft, damage, or personal injury.
- Tenants must adhere to all site rules and local regulations.
